Coordination usually includes a pre-event site visit so the coordinator can verify access routes and the location of key items. Based on this, they will create a detailed schedule for the entire day.

On the wedding day, they communicate with all suppliers—ensuring the photographer, catering staff, and band are in the right place at the right time. Any issues are resolved discreetly so neither the couple nor the guests are aware of them.

What a coordinator does not do: they do not replace an MC who runs the programme, nor a decorator who sets up the styling. If you require these services, arrange them explicitly as add-ons; otherwise, the fee covers coordination only.

What the price is based on

The main factor is the scope of work. The most common option is coordination of the entire wedding day, followed by half-day coordination and a one-off consultation for couples who can manage the rest themselves.

The length of the day and the number of guests are also factored in – coordinating an event for two hundred people involves different work than for fifty. Travel distance and a prior site visit also play a role, especially if the wedding venue is far away.

Additional services are calculated separately: decoration rental, printed materials, floristry, or MC/hosting. It is precisely these items that can increase the final amount the most.

This is why you will not find a standard price list on most websites. The offer is created to measure – a single fixed figure would be misleading in either direction.

When a wedding coordinator pays off

The greatest value comes when the wedding involves multiple locations. A ceremony in a church and a reception twenty kilometres away means transfers that someone must manage – and you shouldn't be that person on your own wedding day.

A second typical reason: you don't want to burden your mother or a friend. They should also enjoy the day, not keep watch over whether the cake has arrived.

It also makes sense when planning from afar. If you are getting married in a region you don't know, local knowledge saves a lot of searching – and a coordinator usually knows who works well in the area.

When it is not necessary: for a small wedding at a single venue where the operator includes their own coordination in the price. Just verify exactly what their service covers – they manage the venue's operations, not necessarily you and your suppliers.

How to choose and what to ask

Ask specifically how many weddings in a similar format they have handled and exactly what they will do on the day. A general answer like "I'll take care of everything" tells you nothing.

Clarify whether they will arrive alone or with a team, and most importantly, when they will arrive and when they leave. The difference between "from morning until the end of the ceremony" and "until the end of the evening" is crucial.

Ask what happens if they fall ill. Do they have a substitute arranged, and how will information be passed on to them?

Request a written proposal, including what is not included in the price. This will avoid extra charges for items you assumed were standard.
